Purpose of the job

In close collaboration with the Executive Assistant to the President & CEO and under their supervision, the Administrative Officer provides operational and administrative support and a range of administrative services including research, coordination and logistics. The Administrative Officer will support the team in relation to the organization’s mission and strategic objectives.

Responsibilities

In keeping with Canada World Youth’s policies,

  • Coordinate administrative support services as well as clerical functions;
  • Provide administrative and logistical support for activities related to the programs;
  • Set priorities and recognize emergencies to be acted on and carry out these priorities;
  • Ensure timely and adequate follow up when issues are brought up;
  • Conduct research to support the planning and implementation of Canada World Youth’s current and future programming;
  • Write letters, drafts or other documents in both official languages;
  • Ensure effective communications between the various constituencies of the programs;
  • Ensure the production of reports for the activities related to the programs;
  • Perform a number of accounting duties (e.g. codifying of various invoices ensuring they are sent to management for approval, etc.);
  • Carry out their duties with discretion and confidentiality;
  • Related tasks, as requested by their supervisor.

 

Required qualifications and experience

Particular working conditions

  • Post-secondary education in a relevant field;
  • 3 years of work-related experience.

 

  • 3 days a week;
  • Temporary position (4 months);
  • Unionized position;
  • Class D salary (according to the collective agreement).
  • Based at the CWY Ottawa Office
  • Starting Date: As soon as possible

 

Work area knowledge and skills

Interpersonal skills and aptitudes

  • Highly proficient in the use of the main office software (Word, Excel, Outlook, Power Point, Web);
  • Experience with social media (Facebook, Twitter and others)
  • Ability to conduct financial and budgetary monitoring;
  • Excellent organizational abilities, priority management and multi-tasking;
  • Excellent knowledge of both official languages  is required (English and French spoken and written);
  • Knowledge of Spanish is an asset.

 

  • Ability to demonstrate exceptional judgment;
  • Flexibility, adaptability, ability to work under pressure and respond quickly to unexpected requests and manage a range of new issues and activities meeting tight deadlines;
  • Initiative as well as the ability to be proactive and efficient in all aspect of their duties;
  • Ability to work in a team;
  • Ability to handle stress adaptability to change;
  • Be reliable and demonstrate tact and discretion.
